Log in to the Admin of your site. If you need help finding the right place to do so, follow the instructions in the Log In article.
Go to Prospects in the left menu. The list of Prospect Inquiries will populate in the displayed window showing the Subject, the From E-Mail Address and the Date of the Inquiry.
View an individual Prospect E-Mail by clicking on either the Subject or the From E-Mail Address in the desired Contact row. This will pop-up a dialog showing the form information as filled out by the Contact, including Name, E-Mail and Message.
Click the 'X' in the upper right-hand corner to close the dialog.
Delete a Prospect Inquiry
In the Prospects Section, you can delete prospect emails that have been created from a form submission.
Find the prospect inquiry that you want to delete in the list. There are two methods to delete a Prospect Inquiry
First, follow the View a Prospect Inquiry directions above. On the pop-up dialog, click the red Delete button, as indicated in the image below, to delete the viewed prospect email. A confirmation dialog pops up. Click the blue Delete button to continue with the Delete action, or click Cancel to exit without deleting the Inquiry.
Or in the Prospect list, click the check box located on the left side of the desired row. A Trash Can icon appears in the Icon row. Click the trash can to delete the checked inquiry. A confirmation dialog pops up. Click the blue Delete button to continue with the Delete action, or click Cancel to exit without deleting the Inquiry.
You may also choose to delete all Prospects by clicking the check box at the top of the list directly under Prospects. This automatically checks the check box in the row of each Prospect. You may uncheck any Prospects that you would like to keep. A trash can icon appears in the Icon row. Click the trash can to delete all checked inquiries. A confirmation dialog pops up. Click the blue Delete button to continue with the Delete action, or click Cancel to exit without deleting the Inquiry.
Sort and Filter Prospect Inquiries
View only Unread Prospects by clicking on the Letter icon at the top of the page. To clear the filter ands view All Prospects, click on the Clear Filter icon located to the right of the Letter icon.
Use the Sort By, Show, and Created In drop down boxes to sort and filter the list of Prospects as follows:
Sort By - Select to sort by Alphabetical Order, Date Created, Newest->Oldest or Oldest->Newest. After a selection is made from the drop down, click the Apply button to sort the list.
Show - Choose to display the number of entries in the list by using the Show dropdown. Select to Show 10, 25 or All of the Prospects. After a selection is made from drop down, click the Apply button to display the list.
Created In - This dropdown allows you to select a date that Prospects were created. The list will show all dates that pertain to the entries in your list. Select a date to filter the Prospects and show only inquiries from that specific date. After a selection is made from drop down, click the Apply button to display the list.
Search for a Prospect Inquiry
If you have a large number of prospects displayed, it might be more efficient to find a prospect by searching for key words in the Inquiry
The search function will search all fields of the inquiry including Subject, From, Name and Message. Type a part or all of the desired search text into the Search box.
Press the Enter key or click on the Search icon. Only Prospects that meet your search criteria will show up in the Prospect listing.
Export Prospects
You may create an Excel spreadsheet containing a list of Prospects and corresponding contact information
Click the Export Contacts icon located at the top of the page under the Prospects title. An Excel spreadsheet will automatically be created in your Download folder and given the following file name: domain-contact-yyyy-mm-dd.csv where "domain" is the name of your personal domain and "yyyy-mm-dd" represents the creation date.
After clicking the Export Contacts icon, you should see the Downloads dialog appear in the upper right hand corner of your screen. Click Open File from here to open the spreadsheet or alternatively, find the file in your Downloads folder and open it from there.
In the Excel spreadsheet, you will see a header row with columns indicating Name, Email Address, Subject , and Message. Note that the header columns may appear in a different order and may be named differently. Each row displayed contains the corresponding information for one Prospect listed in the Prospect section of the Admin.
