Some states require that wages and withholding for a quarter be reported by employee. You can create files in FCA™ to upload for Alabama (A1/A6), Illinois (IL Schedule P), and North Carolina. A separate file is required for each company.
Select the desired State, Reporting Year, and Report Quarter. Only states with wages will be available to select.
Select OK to proceed.
State specific instructions will appear at the top of the window. Click Browse to select the desired folder.
Enter a file name, and click Save.
Click Next.
Verify the Total Wages and Tax Withheld and click Next.
Review the Wage Detail Record window. Verify that all employees have Social Security Numbers in the correct format as the file will be rejected for missing or incorrectly formatted information. You may edit the fields on this window to create a file in the correct format, but the employee records will not be updated. Update the information permanently in Company Contacts.
Click Finish to create the file.
A dialog box will open when the file has been created. Click OK to close the window.
Note: If a file with the entered name already exists, the following dialog box will open. Click Yes to overwrite the existing file. Click No to go back and change the file name.
Log in to the appropriate state website to upload the file.
