To create a comma-separated (CSV) file for your retirement plan administrator select Activities>401(K)/Simple Export File. There are 5 provider specific formats available as well as a generic and a custom to choose from. American Funds, Empower, JPMorgan, PayChex Flex, The Standard, Generic and Custom Select the desired Provider. Click on the link below for specific instructions. This option will create two comma separated(csv) files which can be uploaded to the employer's retirement plan administrator. Map each Payroll Item to the appropriate value. Choices include: Deferral, Gross Wages/Salary, Ignore, Loan Payments, Matching, Profit Sharing, Roth, Safe Harbor, Service Hours, The first file contains census data. The file name is the Custodian ID followed by the date. The second file contains payroll data. The file name is the Custodian ID followed by the Payroll start date and Payroll end date. Select Custom and click OK. You will have to define the rules for the file the first time you create it. Once you have created a file, the program will remember the prior selections. Enter the Plan Number. The Payroll start date and Payroll end date will default to the last check date. Enter the Number of Columns you need in the file and press Enter (or Tab) to populate the rows below. For each column in your export file: Enter the desired text in the Column Heading field. This will be the exact label shown in the file’s header row. Select the appropriate Type for that column. The tells the system what kind of data to pull into the column. Available types include: Company Info – Employer-level details like company name or plan ID Demographic – Employee-specific information such as name, SSN, address, birthdate Payroll Amount – Financial data such as employee deferrals, employer match, compensation Click Next to continue. Select the appropriate items for each section in the Custom Mappings window. Company Info; Company Name, Payroll End Date, Payroll Start Date, Plan Number, Ignore. Demographic: Address 1, Address 2, City, Display Name, DOB, Employee Class, Employee Type, Gender, Hire Date, Hourly/Salary, Marital Status, Pay Frequency, Phone 1, Rate, Rehire Date, SSN (Masked), State, Suffix, Term Date, Zip, Ignore. The grid on the right side of the window will list all Payroll Items in this client. The options available in the Map To list are the entered Column Headings which are mapped to Payroll Amount and Ignore. Note: All Payroll Items must be mapped to create the file. Map any item you wish to exclude to Ignore. Click OK to create the file. Browse to the desired folder, enter the File name, and click Save. The following dialog will open when the file has been saved. Click OK to close the window.
