Check Maintenance

There will be many times when it is necessary to Reprint, Void, or Void and Reprint previously written checks. A few times when this may be necessary are:

• You printed and mailed a batch of payroll checks that got lost in the mail.
• An employee lost their check before cashing it.
• A check written to a vendor needs to be voided.

To Reprint, Void and Reprint, or Void Checks

1. Select Utilities>Check Maintenance.
   
2. Enter the desired Check Date.
3. Select the desired action.
   • Reprint—This will change the number of a previously-written check(s) to Print, making it available again in the Report>Print Checks window. You may want to make note of the original check number range and use that for the check number range when reprinting the check(s).
   • Void/Reprint—This leaves the original check(s) intact and creates two additional check transactions for each check selected. The first transaction will have the original check number and contact and will post all items on the original check negatives. This is done to reverse the original check. A second new transaction will be created that is identical to the original transaction except the check number will be Print. The two new transactions will be dated using the Date entered on the third dialog box. Both new transactions will be recorded in the database with the Entered Period being the company's current period. The Effective Period will be recorded as directed in the third dialog box.
   • Void—This leaves the original check(s) intact and creates one additional check transaction for each check selected. The transaction it creates will have the original check number and contact and will post all items on the original check negatives. This is done to reverse the original check.
4. Click OK.
   
5. Select the desired checks and click OK.
   
6. If Void/Reprint or Void was selected, enter the desired date for the new transaction(s) and select the Replacement Check Eff. Period. The check date will be used for all payroll tax liabilities and forms. The effective period selected will determine the general ledger period the entries will be effective.
