The General Journal window is used to record a variety of general journal transactions. Select Write Up>General Journal to enter a one time adjusting journal entry, a one time entry which will be effective in a prior period, or an entry which will recur indefinitely or for a specified number of periods at a specified frequency. Select a predefined template from the drop to create entries which are calculations.
Click the
icon on the Data Bar or select Window Options from the Edit>Commands menu when the General window is open.
See Options, at the end of this topic, for a list of options avail able to the General Journal.

Template—A predefined page of transaction entries created in Setup>Templates. Select the desired Template from the drop-down list and press enter to calculate and record the entry.
Period Mode
- Current—Records transactions in the current accounting period.

- Prior—Records transactions in the prior period. When selected, the top portion of the window changes to provide the selection of the Period and Year that the transaction will be posted to.

Recur
- N/A—The transaction will not recur.
- [Entered number]—Enter a number in this field and the transaction will recur this many times, then stop.
- Forever—The transaction on the page will recur every period until it is either changed or deleted.
Recur Every—This sets when the transaction will recur. If 1 Period is selected and a number is entered or Forever is selected for Recur, the transaction will recur every period until it has recurred the number of times remaining in the Recur field. If 3 Periods is selected and a number is entered or Forever is selected for Recur, the transaction will recur every 3 periods until it has recurred the number of times remaining in the Recur field.
Reverse In
- N/A—Transactions will not reverse.
- 1 through 12 Periods—When one of these options is selected, the transactions will reverse in a future period. The number indicates how many periods after the current period this will occur. This can be combined with Recur to cause the reversing entry to recur for one or more periods.
Batch—Allows you to associate pages (Numbers) with a Batch.
Number—A Number to identify the transaction.
Date—The Date of the transaction.
Contact—Select the contact associated with the transaction, where applicable.
Memo—A description for the transaction, where applicable.
Grid
- Account—Enter the Account code.
- Description—The Account Description will display when the Account code is selected.
- Debit—This field is available when Edit Mode Option is set to Dr/Cr. Enter a dollar amount to debit the account, if applicable.
- Credit—This field is available when Edit Mode Option is set to Dr/Cr. Enter a dollar amount to credit the account, if applicable.
- Debit Qty—This field is available when Edit Mode Option is set to Dr/Cr. Enter a quantity to debit the account, if applicable. Quantity is often used to record gallons of fuel for service stations or other products where the client wants to track units.
- Credit Qty—This field is available when Edit Mode Option is set to Dr/Cr. Enter a quantity to credit the account, if applicable. Quantity is often used to record gallons of fuel for service stations or other products where the client wants to track units.
- Amount—This field is available when Edit Mode Option is set to Amount. Enter debit dollar amounts as positive values and credit dollar amounts as negative values.
- Qty—This field is available when Edit Mode Option is set to Amount. Enter debit quantity amounts as positive values and credit quantity amounts as negative values.
- Memo—Enter a description, if desired.
General Journal Options

The General Client tab contains options for the user who is logged in which only apply to the particular client that is open.
The General System tab contains options for the user who is logged in which apply to all clients.
Default Move (System)
- Default—The window will always open for a new transaction.
- First—The window will always open to the first transaction for the period covered (see Options>View Period) in numeric order.
- Last—The window will always open to the last transaction for the period covered (see Options> View Period) in numeric order.
- New—The window will always open for a new transaction.
Always Ask Before Saving (System)
- Yes—A dialog box will open with the options Yes, No, or Cancel every time before advancing to enter a new transaction.
- No—The transaction will be saved automatically when advancing to enter a new transaction.
Ask Before Adding Contacts (Both)
- Default—Uses the setting on the System tab.
- Yes—When a name is entered in the Contact field that does not match the Lookup for any contact in the Contact Manager, a dialog box is presented asking if you want to add the contact. If you click No, the name in the Contact field will be cleared.
- No—When a name is entered in the Contact field that does not match the Lookup for any contact in the Contact Manager, the program creates a new contact for the name automatically, without asking.
- Exception: If the user does not have User Permission to access the Contact Manager, the new contact will not be added.
Edit New Contacts (Both)
- Default—Uses the setting on the System tab.
- Yes—Opens the Contact Manager window so that additional information can be filled out for the new contact.
- No—The Contact Manager window will not be opened when a new contact is created.
- Exception: If the user does not have permission to access the Contact Manager, the Contact Manager dialog box will not open. The check cannot be issued to a payee that is not a current contact.
View Period (Both)
The selected options control what deposit will be displayed in the List
, as well as which deposits can be accessed in the window when scrolling through the deposits, using the Data Bar commands.
- Accounting Year to Date—Includes all deposits for the current accounting year.
- All—Includes all deposits.
- Current Accounting Period—Includes all deposits within the current accounting period.
- Last 30 days—Includes all deposits with dates within 30 days of the current date.
- Last 60 days—Includes all deposits with dates within 60 days of the current date.
- Last 90 days—Includes all deposits with dates within 90 days of the current date.
- Last Year—Includes all deposits with dates within the last calendar year.
- Year to Date—Includes all deposits with dates within the current calendar year.
Automatic New Entry (Both)
- Default—Uses the setting on the System tab.
- Yes—Automatically creates a new transaction when a row is entered but an account is not entered or selected.
- No—Continues to create new record rows even if no data is entered on a row.
Edit Mode (System)
This option sets up the Disbursement grid of the Adjustment with columns that best suit the user. When a change is made in Edit Mode, the General Journal window must be closed and reopened for the change to be applied.
- Amount—When this mode is selected, an Amount column is included. Debit amounts are entered as a positive, and credit amounts are entered as a negative.
- Dr/Cr—When this mode is selected, Debit and Credit columns are included.
Skip Date (Both)
- Default—Uses the setting from the System tab.
- Yes—Causes the cursor to skip over the Date field when pressing Enter or Tab to move through the window. The Date field can still be accessed with the mouse.
- No—Causes the cursor to stop in the Date field pressing Enter or Tab to move through the window.
Skip Contact (Both)
- Default—Uses the setting from the System tab.
- Yes—Causes the cursor to skip over the Contact field when pressing Enter or Tab to move through the window. The Contact field can still be accessed with the mouse.
- No—Causes the cursor to stop in the Contact field when pressing Enter or Tab to move through the window.
Skip Memo (Both)
- Default—Uses the setting from the System tab.
- Yes—Causes the cursor to skip over the Memo field when pressing Enter or Tab to move through the window. The Date field can still be accessed with the mouse.
- No—Causes the cursor to stop in the Memo field pressing Enter or Tab to move through the window.
Remember Date (Both)
- Default—Uses the setting from the System tab.
- Yes—Defaults to the date of the last check written.
- No—Defaults to today's date.
Autofill Account (Client)
- Yes—Defaults to the account entered on the previous row of the transaction.
- No—The new row is created with this field blank.
Autofill Amount (Dr/Cr) (Client)
- Yes—Defaults to the amount entered on the previous row of the transaction.
- No—The new row is created with this field blank.
Autofill Memo (Client)
- Yes—Defaults to the memo entered on the previous row of the transaction.
- No—The new row is created with this field blank.
Autofill Qty (Dr/Cr) (Client)
- Yes—Defaults to the quantity entered on the previous row of the transaction.
- No—The new row is created with this field blank.
Auto Increment Number (Both)
- Default—Uses the setting on the System tab.
- Yes—Automatically increments the Page Number from the last page when advancing to a new page.
- No—Increments the Page Number from the highest page number when advancing to a new page.
Show Hash Total
- Default—Uses the setting on the System tab.
- By Entry—Displays the numeric value of all account codes in the active entry at the bottom of the window.
- By Period—Displays the total numeric value of all account codes for all general journal entries made in the current period at the bottom of the window.
- No—Does not show any hash total.
