Before exporting to Drake for the first time, go to the Setup>System Options>System Default Paths tab and set the Value for File>Exports>Tax Software>Drake D-File as shown in the following screenshot, where the drive letter and Drake folder are the current Drake version. This is where all export files for all clients will go.
Verify that the Federal Id Number is entered on the Tax Id tab in Setup>Company Information.
Select File>Exports>Tax Software>Drake D-File.
Make sure the current Tax Year, SSN/EIN number and Type of business are correct. This is taken from the Setup>Company Information>Accounting tab.
Click on the box to the right of the Path.
If the Path was set correctly on the Setup>Company Information Default Paths tab, it will automatically go to the right Path. The file name cannot be changed. Click Save.
Make sure the Path is correct and click OK.
Map each account from the drop-down list in the Tax Code field. For any accounts that you do not want to include in the export, select Ignore.
Note: If you have already mapped a similar client with the same entity and Chart of Accounts, you can import the mapping.
The drop-down list of Tax Codes will be displayed by Form-Description or Description-Form depending on the Sort order selected on the right.
The tax Form part of the items in the list relates to the Drake screen identification.
The Description part of the items refers to the field in the window.
The portion of items at the end beyond the colon tells you whether it is an Income Statement or a Balance Sheet item.
If you want an account to be sent to Drake separately, not in a combined total with other accounts which map to the same Tax Code, check the Detail box for that line.
Check the Reverse Sign box for the account if you need to switch the normal sign. For example, you may have a Returns and Allowances account set up as an income account where all postings post as negative income. However, the Tax Code that you map this to in Drake may be expecting positive numbers, in which case you would select Reverse Sign to send Drake positive numbers.
Print reports.
Print Mapping—Click the PrintMapping button to print the Drake mapping.
Print Tax Codes—Click the Print Tax Codes button to print the complete list of Tax Codes available in Drake. The printed list will include the Tax Code, Tax Description, and Form information.
Print Tax Groups—Click Print Tax Groups to print a quick report of all accounts sorted by and totaled by Tax Code. If the printed columns widths are not proper, click the Options icon at the top of the ExportDrake-D-File window and change the Print Offset. Higher numbers print wider columns.
When you are done mapping, click Export. This dialog box will open when it is finished.
Open the Drake Tax Software program.
Click on the Open or New icon and enter the social security number or the last name for the return you want to open or create.
Click OK.
Drake will look for the file you created and will tell you that the Full Contact Accounting™ import file was located for the selected client. Click Yes, and the program will put everything in the appropriate Drake fields as you have mapped.
Delete Mapping
Click the Delete Mapping button to clear all of Tax Code selections.
Note: Select Cancel before saving any changes to close the window and retain the original mapping.
Import Mapping
If you have already mapped a similar client with the same entity, you can copy that mapping from the other file. To do so, click Select Client.
Select the appropriate company from the drop-down list.
The window will fill out the mapping with matching account codes. Review what is in the list to make sure it is correct and only map unmapped accounts.
