If your accountant has turned this feature on you may create an unlimited number of employee portals.
Select Management>Employees from the left menu.
Click Create Employee Record which will take you to the Employee Profile page.
The First Name and Last Name fields are required.
The Email address is required to receive email notifications such as those generated when the portal has been created or when files are uploaded. This email address is also used in Conversations.
The Address, City, State, Zip Code, Phone, Fax, and Cell Phone fields are optional.
Choose the Department(s) the employee belongs to by checking the applicable box(es). You may select multiple departments for the employee.
Select the rights to apply for Payroll Forms for the employee, if applicable.
The User Name and Password fields will display once the employee has created their login.
Check the Allow access to selected files uploaded to/from the Accounting office box to grant access rights to the employee when files are uploaded. Click here for instructions to Upload Files.
Check the Allow access to PayPortal box to grant rights to the employee to the PayPortal, if applicable.
A checkmark in the Active box indicates the employee is Active. The Owner has the right to inactivate an employee.
Click the green Submit button to complete the setup.
What to Expect Next (Client)
Once the Employee Profile is complete, the employee record will display under Management>Employees from the left menu. The employee record will be in a pending status until the employee creates their login information.
Select the Edit icon if changes are necessary for the employee portal.
Select the Delete icon to delete the employee portal. The Client Employee portals can be deleted by the Office owner and staff with Client Maintenance rights.
Nudge Employee
If the employee does not create their login within two days of receiving the notification email, a reminder email will be sent. If the login is still not created after the reminder email was sent, you may click the Nudge Employee link located above the Employee list accessed by clicking Management>Employees in the left menu.
Check the box under the Select column heading for the employee you'd like to send the nudge to.
Click the green Send button to send the reminder email.
Send Reset Password Email link
To reset the employee password, click on the Send Reset Password email link button. An email will be sent to the employee with a link.
What to Expect Next (Employee)
The employee will receive an email notification indicating their Secure Portal has been created. The email will include a link.
Click the link to go to the Setup page.
Enter your User Name and Password.
Enter your password a second time to Confirm Password.
