Quickbooks Online® is a registered trademark belonging to Intuit, Inc. Click here to sign into QuickBooks Online. FCA™ and PBM™ can import transactions originally entered in QuickBooks Online using the journal report. The trial balance report may be used to import the net change to each account.
Microsoft Excel® must be installed on the computer creating the import file from QuickBooks Online.
Export Data from QuickBooks Online
Click Reports at the top of the page.
Select Accountant and Taxes on the left side of the widow.
Click Customize on the Journal line.
Set the From and To dates as desired.
Select Change Columns.
If class is used, select Class from the Available Columns: list and click Add. If Class is not used, do not add the column.
Remove any columns that are not shown below from the Selected Columns field.
The columns must be in the order shown in the example below. To move a column, click on the column to be moved and click the Change Order up or down button as necessary.
Click OK.
Click Run Report to preview the report.
Click the Export button at the bottom of the Customize Report dialog box, or at the top left of the Report page.
Select the .xlsx or .xls report format and download the report.
Click Open in the browser to open the report in Excel.
In Excel select File>Save As.
Click the down arrow at the right of the Save in box, at the top of the dialog box, and find the desired location for the file.
Change the file name as desired. Do not include a file extension.
Select Text (tab delimited)(*.txt) from the drop-down list in the Save as type field.
Click Save.
Click Yes when the following dialog appears.
Close Excel (Click No when asked if you would like to save changes).
For the QuickBooks Online Accountant Version select Reports from the menu on the left, then select the Customize link under the Journal report as shown below and proceed with Step 4 above.
Import Trial Balance
To import a Trial Balance, select the Trial Balance report and continue from Step 11 above.
Click the Browse button at the right of the Import File field to locate the desired file.
Select the date range for the transactions to import.
Map the QuickBooks Online accounts using the account map grid on the left side of the window.
Select the FCA account in the Map To column for each QuickBooks Online account. Click the Fill Map button at the upper right of the window to have the system look for and map all accounts where the account Lookup in FCA matches the account code used in the file being imported.
Use the grid on the lower right side of the window to define transactions to be summarized into one transaction. Select the Summarize transactions as follows box to create the summarized transaction(s). Use the grid to define the summarized transaction as follows:
Number—Identify all parts of a summarized transaction with the same Number. The transaction number in FCA will be S1, S2, etc.
Debit—Enter the debit accounts in the Debit column that are part of the summarized transaction.
Credit—Enter the credit accounts in the Credit column that are part of the summarized transaction.
Description—Enter a description for the Account Detail report for each part of the transaction, if desired.
Click OK to import the transactions.
Cancel—Click the Cancel button to close the screen without importing.
Print—Click Print to print the mapping as displayed in the grid. Due to printer variations, column widths do not print the same as they look on the screen. Use Options>Print Offset to adjust for these differences.
Fill Map—The program will look for accounts with the same Lookup as the account number in the file being imported and populate the Map To field with any matches.
Export Map—Click Export Map to export the mapping displayed in the grid to a txt or csv file.
Find Accounts—The Find Accounts button is only active if you have selected Summarize transactions as follows:. See detailed instructions in Step 4 above.
Batch—Each import will be assigned a unique Batch name that follows a similar formatting pattern. Batch QBON 2020 5-1 indicates that the import is the first QuickBooks Online import done in period 5 of 2020. If another file is imported in the same period using this import, the batch name would be QBON 2020 5-2.
Undo by Batch—To delete all transactions imported in a batch, select Writeup>Import Transactions>QuickBooks Online. Select the Batch to be deleted in the Undo by batch field and select Undo. Batches that have been imported in prior periods cannot be undone.
