Account Groups is used to create groups within account classifications on Profit & Loss reports. Select Setup>Account Groups. Order is used to arrange the rows in the Account Groups window. If there are ten lines, and an additional row is needed with an account range that goes in a previous group, give the row a contiguous number and they will be sorted together in the window. Each line must have a unique Order number. Important: All rows with the same Titles need to be contiguous. Priority is used to change the presentation of the group on the report. Set the Priority to "0" to make the group be a subset of the main section (Income, Cost, Expense, etc.). A Priority greater than "0" creates an additional main section and the value of the Priority sets the order of the section on the report. Summary causes all of the accounts within the range to be suppressed. Only the Total of the group will print. When there is more than one row for a particular group, the Summary should be checked for each row of the group (group meaning all rows with the same Title 1, etc.). Total is used to place a running Gross Profit (for Income groups) and running Operating Income (for Expense groups) line following the group. When there is more than one row for a particular group, the Summary should be checked for each row of the group (group meaning all rows with the same Title 1, etc.) From Account and To Account are used to define a contiguous range of accounts to be included in the group. Important: Make sure that accounts are not being included more than once. If an account is included more than once, it will be included in the Income Statement report more than once causing the Totals, including Net Income, to be incorrect. This will also affect the Profit/Loss account Total on the Balance Sheet. Title 1–Title 5 are used to: Define the Title and Total label of the group on the report. Combine multiple rows into a single group. Create nested subsets. Rows with the same Title 1 will all be under the Title 1 group. If one or more of the rows has a Title 2 defined, a subset will be created within the Title 1 group. Nesting is supported to five levels. Screenshot #1 below shows an Account Groups setup that will produce the Expense portion on the Income Statement 9B report that is shown in screenshot #2. Reports that support Account Groups have the following Report Options: Group Income and Cost—Yes causes the report to print defined groups where accounts have a Classification of Income and Cost. Group Income and Cost Categorically—Yes combines Income and Cost groups into sections where the Titles are the same. Group Other Income and Other Expense—Yes causes the report to print defined groups where accounts have a Classification of Other Income and Other Cost. Group Other Income and Other Cost Categorically—Yes combines Other Income and Other Cost groups into sections where the Titles are the same. Group Expense—Yes causes the report to print defined groups of accounts where accounts have a Classification of Expense.
