The Virtual Office allows your office to receive secure, encrypted files from your clients.
Files from Clients
Click on the Files from Clients quick tile on the Dashboard or select Files > Download Files from Clients from the left menu to download files uploaded to you by a client.
Search for Files from clients
Files can be accessed for all clients within the last 30, 60, or 90 days, all files for all clients, or select a specific client in the Clients field by using the Search Filters. The default is set for All files from clients- Not Accessed.
Click the Show Filters arrow to view the Filters available.
You can filter search results by Title/File Name,Department, and Source. Click the blue Search button to continue.
Downloading a Single File from the Client
The title of the upload will appear as a link under the Title column heading. Click the Title link to access the uploaded file(s).
To download a single file, click the Download button.
Once the file has been downloaded, click the Submit button to return to the list of Files from Clients - Not Accesssed.
After files are downloaded, the page will automatically refresh to display a date, time stamp, and the user name of who downloaded the file. All files downloaded will drop from the list of Files from Clients - Not Accesssed.
Downloading Multiple Files from the Client
If multiple files have been uploaded, each file is listed separately under the File Name column. You may download all files by clicking the Select All button and then the Download All button. You may need to install the File Download Utility to download multiple files in one click. Click here for information about the File Download Utility.
Delete Files from Clients
Files from clients can be deleted using Select All or one at a time.
To delete multiple files, click the Select All box to select all files in the section. The Select All box is to the left of the File Name column heading. Click the box to the left of the file name to deselect the file.
Click the red Delete icon above the File Name column heading to delete the selected files.
Click the Delete button to the far right to delete a single file.
A Confirmation message of "Are you sure you want to proceed?" will appear. Select the Confirm button to complete the process or the Cancel button.
You may also configure your portal to automatically delete files no longer needed by clicking on Files > File Maintenance from the left menu. This is available for Owners and Partner-level rights. Click here for File Maintenance instructions.
Change Department
There could be instances where files are uploaded using the wrong department. Click in the Department field to select the correct Department and click the blue Submit button.
