Important Note: The signing link in the email notification will expire if it is not clicked within 7 days of sending. However, the document can still be signed. The signer will be redirected to a page where a new SignRequest email will be sent, which again will be clickable for 7 days.
Upload a PDF for E-Signature - Single Signature
Click the Upload to Clients quick tile on the Dashboard or Files > Upload to Clients on the left menu.
Click on the blue Menu Icon at the top of the page.
Click Upload new file to Clients.
Enter the first few characters of the Company or Client's name to choose where you'll be sending the file(s) you are uploading.
Click the blue Continue button.
Enter a Title for your file.
Select the desired Category. Categories are folders. The Category field will default to General Documents. The category selected for the upload will direct the files to the respective "folder" in the client portal. This keeps the client files organized. Click the drop-down to select the Department the file is associated with for your client and staff. Click here for more information about Departments
Click the Signature Request slider button.
The Single and Multiple Signature options will appear. Click the SingleSignature box.
Enter optional Notes to Client which will display on the Document download screen of the client's portal. The Client Notes are not included in the notification email sent to the client.
Click the blue Next button.
You may select a Message Template from the drop-down menu or proceed with the set default of I will create a message.Click here for instructions to set up Message Templates.
The Message Template selected will be displayed in the area below the toolbar. You may also enter your message to the client.
Click in the long gray browse box to the file location, select the files you want to upload, or drag and drop the desired files into the same gray box. Multiple files (maximum of 100) may be uploaded with the Maximum combined total file size of 1GB. When multiple files are attached, the VO will merge all files into one pdf document. The Filename has a 250-character capacity.
Click the blue Submit button to upload the files. This will launch the Add Signature Field page.
A dialog box will appear that reads "Click anywhere on the document to insert the signature placeholder(s)." Click Okay in the dialog box. This will load the PDF file that needs to be signed.
As you click on the location for the placeholder, an options bar will appear, allowing you to select a signature, date, text, or checkbox. You can set multiple placeholders for one signer (i.e.: A signature placeholder and a date placeholder). Click on the icon for the desired placeholder to add it to the document. (The "Signature" was selected for the article in the screenshots below.) To move a placeholder, drag and drop it in the desired location. You can also delete the placeholder.
As the placeholder(s) are being set, a dialog box will open asking "Who needs to sign here?"Select the email address corresponding to the person who needs to sign in the placeholder box(es). Click the blue Save button.
Once all placeholders are set and the desired optional features are in place, click the blue Send button at the top right corner of the page.
A Document Confirmation will display after you have clicked Continue. Click the Print icon at the top for a print-friendly page.
Click Upload Another File to Same Client from the bottom of the page to send additional files to your client.
What the Signers can expect
After the Document Confirmation is displayed, an email notification from your Accounting Office is sent to the signer.
The subject will read: "(Accounting office name)" sent you a document to review and sign.
If the signer is not logged into their portal, they can click on the "Sign Document with Secure Portals" link from the top of the email notification.
Download Signed Document with Signature Log
You can download or view the signed document with the Signature Log attached at Files > Download Files from Client from the left menu or through the Files from Clients quick tile.
